What actually goes wrong
Gym owners put off switching for years, and the fear is reasonable. When a switch goes badly, it’s almost always one of four things:
- A member gets charged twice, once by each system.
- Members’ cards don’t come across, so billing quietly stops.
- Something you needed (waivers, attendance, pack balances) didn’t come with you.
- Members hear nothing, then get a strange text or a declined charge.
Each one is avoidable with the right order of steps. Here it is.
Step 1: Export everything before you touch anything
Before you change a single setting, pull every report your current system offers and keep a copy somewhere safe. You’ll want:
- Members, with contact details and emergency contacts
- Memberships and plans, with prices and next bill dates
- Class pack balances
- Ranks and notes
- Prospects and leads
- Payment history
- Your weekly class schedule
- Attendance history and signed waivers, even if nothing will import them
Step 2: Import, then check the preview
A good importer shows you what it’s about to do before it does it. CornerDesk’s reads Zen Planner CSV exports directly and works with other systems’ CSVs too:
- It finds the header row and maps the columns itself; you can correct any of them.
- It flags duplicates by the old system’s ID, email, and name.
- It maps old memberships onto your plans, and carries class pack balances across.
- Every row gets a warning if something looks off, and nothing is saved until you commit.
- Payment history imports separately, and your weekly schedule can be pasted from a spreadsheet or uploaded as a CSV.
If you’d rather not do it yourself, the switch from Zen Planner is done for you, free: send the exports, and we import and walk you through the preview.
Step 3: Move the cards — start on day one
Saved cards are the slowest part of any switch, so start them first. There are two ways to get them across.
Your old processor sends them
Card processors can transfer stored cards to another processor through a secure data import. With CornerDesk, your old processor sends members’ saved cards straight to your own Stripe account, and CornerDesk never sees a card number. CornerDesk hands you the request to send (for Zen Planner Payments, PaySimple, CardConnect/CardPointe, Stripe, or another processor), matches each card to its member, and switches autopay on at their usual price and bill date. It takes 2–6 weeks depending on the processor, and the old system keeps billing as normal in the meantime.
Members add their own
Anyone whose card doesn’t come across gets a text with a secure link to add theirs. Nothing to install and no password; the link opens their member portal in a browser.
Step 4: Run both systems side by side
Don’t cancel the old system first. Run both until your members are billing through the new one: the old one keeps collecting, the new one runs your schedule and check-in, and nobody misses a payment while cards move.
CornerDesk’s first 30 days are free, which is the side-by-side window. Check your old contract for its notice period now, so you aren’t charged for a month you didn’t need.
Step 5: Never charge anyone twice
The rule is simple: each member’s old autopay must be off before their first charge in the new system. The hard part is keeping track of who and when.
CornerDesk gives you the list: who will be charged and when, as a CSV with their old system’s IDs. It holds back the card-setup text for anyone due to be charged within a week until you confirm their old autopay is off. Members whose bill date has already passed are charged the moment they add a card, so only confirm those once you know the old system didn’t bill them.
Step 6: Tell your members
Members don’t need to know much, but they need to hear it from you before anything lands on their phone. Keep it short:
- What’s changing: a new system for bookings and billing.
- What they need to do: add their card from a text link, if theirs didn’t come across. Nothing to download.
- What isn’t changing: their price and their bill date.
- Who to ask if anything looks wrong.
Waivers need a moment of attention. Imported members show as unsigned until they sign in CornerDesk; one tap texts everyone a link to sign your waiver (a typed name, saved with the exact text they agreed to). If you hold the signed originals, tick a box on import instead.
The cutover-day checklist
| When | Do this |
|---|---|
| Day one | Export every report. Ask your old processor to send saved cards. Note your old contract’s notice period. |
| First week | Import members, plans, balances, ranks, and history. Check the preview. Load the schedule. |
| Before go-live | Set up check-in at the door. Add your waiver text. Connect your Stripe account. |
| Cards arrive | Match any cards that didn’t match themselves. Switch old autopay off, then turn autopay on in the new system. |
| Go-live | Send the card-setup texts to anyone whose card didn’t come across. Send the waiver link. |
| After the first billing run | Check every member was charged once. Swap the booking widget on your website. Cancel the old system. |
After the switch
- Replace the old booking widget on your website with the new one. CornerDesk’s is one snippet for Wix, Squarespace, WordPress, or anywhere you can paste HTML.
- Update the booking links in your Instagram bio and Google listing.
- Keep your old exports, especially attendance history and signed waivers.
- Cancel the old system once billing has run cleanly, inside its notice period.
Most gyms are live within a week of sending their exports. The hands-on part for you is about an hour: pulling reports, a short call, and checking the preview. Cards take longer, which is why they start first.
